Dear Mr Doug, On behalf of Avion Tyres, I would like to book your conference hall for the whole day on 21st April 2019 for our Annual Meet 2019. I would like to apprise you that the meeting is with the foreign delegates and we are expecting around 50 people to be a part of our meet. The event will run from 9 am to 6 pm. Further, there are certain arrangements that the organization expects you to make. The hall should be well-equipped with a projector, a computer system, an audio system, and 20 microphones on the table (preferably a big round table). We would also require you to arrange lunch for 50 people in your lunch hall. Needless to say, provision of the stationery and the PET water bottles will also be required. I have attached an itinerary for your reference and hope that your company will be able to fulfill the above-mentioned requirements. Kindly send the cost details along with the confirmation regarding the availability of the hall no later than 1st April 2019 so that I can take the necessary approvals and confirm the booking. I am looking forward to receiving your prompt response. Yours sincerely, Mike Tylor
Sample Response: In my opinion, constructing a children’s play area would be the best use of the newly redone basement. The play area would provide children to play in an adequate and secure area. If there is a designated play area for the kids within the building, they would be more keen on moving out of their apartments and playing rather than staying hooked to their gadgets. This would also help them to make new friends in the neighbourhood. Together, children can play, discuss school projects, learn from each other and form lasting bonds of friendship. Also, the play area can be easily utilized in extreme weather conditions. During vacations, most of the children do not step out of their homes if it’s too hot, too cold or raining. An indoor play area will make the space accessible all year round. Setting up a gymnasium could also and would definitely motivate the residents to adopt a healthier lifestyle. But I feel that there are already several gymnasiums in the vicinity and most of the residents have annual memberships there. Since there aren’t too many parks around the building, it would be better to use the area for setting up a play area for the children.
Basement Utilization Survey The basement of the residential complex where you live has been redesigned for the use of the residents. The owner of the complex wants to convert it either into a gymnasium or a children’s play area. A survey has been organized to know residents’ opinions on what would be the best use of the available space.
